The Community Foundation for Kingston & Area Privacy Practices

Introduction

The Community Foundation for Kingston & Area (“CFKA”) is committed to protecting the privacy of the personal information of its donors, volunteers, employees and other stakeholders. CFKA values the trust of the public and, in particular, those who support our organization, and recognizes that maintaining this trust requires that we be transparent and accountable in how we treat the information that is shared with us.

During the course of our various projects, programs and activities, CFKA may gather and use personal information. Anyone from whom we collect such information should expect that it will be carefully protected. CFKA’s privacy practices are designed to achieve this.

Defining Personal Information

Personal information is any information that can be used to identify a specific individual.  .  Exceptions: business contact information and certain publicly available information, such as names, addresses and telephone numbers as published in telephone directories, are not considered personal information.

Our Privacy Practices

Personal information gathered by the Community Foundation is accessed by CFKA’s staff, members of the Board of Directors and volunteers based solely on their need to deal with the information in order to perform their duties. Safeguards are in place to ensure that the information is not disclosed or shared more widely than is necessary to achieve the purpose for which it was gathered. We also take measures to ensure the integrity of this information is maintained and to prevent its unauthorized disclosure, loss or destruction.

The information you provide will be used by CFKA to deliver the services for which the said information was obtained and to keep you informed and up to date on the activities of the CFKA including programs, services, special events, funding needs, opportunities to volunteer or donate.

CFKA’s staff, members of the Board of Directors and volunteers are required to sign a confidentiality agreement when they begin their tenure at CFKA, and are therefore required to keep confidential the information shared with them. This prevents unauthorized use of such information.

From time to time, CFKA publishes photos, names, or other likenesses of individuals in marketing and promotional materials that may include, but not be limited to: annual report, website, and multimedia presentations at events. CFKA respects everyone’s privacy. If at any time an individual wishes her or his photo, name or likeness omitted from published materials, please contact us at info@cfka.org.

Unless otherwise indicated, we will assume that we have your authorization to proceed with the use of your name/photo in any and all future publications.

Website and Electronic Commerce

The CFKA uses password protocols, encryption software and firewalls to ensure privacy and to protect personal and other information we may receive online. Our software is routinely updated to maximize protection of such information.
CFKA is strongly committed to protecting the privacy of those who use our website. This site compiles conventional log files to monitor and assess activity including traffic and visits on, and related to, the site. This activity does not specifically identify any individual user without prior notice to the user through use of the site.
We do not disclose information about individual visits to www.cfka.org, nor do we provide the information given to us on our website to outside companies. The information we collect is used to improve and enhance the content and services of the website.

Updating of Privacy Policy

We regularly review our privacy practices for our various activities, and update our policy when necessary.
